How Mitrend Accounting Services processes and protects your personal and commercial business data in strict accordance with the Protection of Personal Information Act (POPIA Act No. 4 of 2013).

1. Information We Collect

When you engage Mitrend Accounting Services for financial modeling, Information Memorandums (IM), bank business plans, monthly bookkeeping administration, or CIPC secretarial filings, we collect necessary business and personal data. This includes director identity documents, proof of residential address, corporate shareholding structures, historical bank statements, general ledgers, and SARS tax numbers.

When you submit a website form (quote request, service subscription, order intake, or free toolkit download), we collect the details you provide — name, email address, phone number, company name, and project details — together with your IP address at the time of submission. The IP address is used solely to prevent spam and abusive automated submissions and is never sold or shared.

2. Purpose of Data Processing

Your information is processed solely to fulfill agreed professional client mandates: preparing bank-ready financial projections, drafting investment memorandums, reconciling accounting records, submitting statutory CIPC Annual Returns and Beneficial Ownership declarations, and configuring cloud accounting software.

3. Strict Non-Disclosure & Confidentiality

We treat all client financial data, business strategies, and trade secrets under strict Non-Disclosure Protocols. We never sell, rent, or monetize client data. Disclosures are made strictly to authorized statutory institutions (such as CIPC or SARS) under your explicit instruction or to certified cloud accounting partners (such as Intuit QuickBooks, Xero, or Microsoft Dynamics).

4. Data Security & Encrypted Cloud Storage

All digital records, financial workpapers, and identification documents are transmitted via SSL/TLS encryption and stored in secure, access-controlled cloud repositories in compliance with South African statutory record retention standards.
